Company Vehicle Fine Management: A Practical Record and Settlement Workflow

Published 26 October 2026

A growing vehicle business needs clear answers about recorded fines: which vehicle is involved, when did the incident happen, who is reviewing it and what remains unresolved? Screenshots in conversations rarely provide a complete account. This guide describes an internal record workflow. Official fine status must still be checked against the authoritative source.

Create one identifiable record for each fine

Keep a stable internal identifier and the reference supplied by the source. Record the incident date separately from the date your team received the information. Add the vehicle identifier, amount, source, reviewer and next action. Distinct dates matter when records arrive after a vehicle changes customer.

Match the vehicle and usage period

Start with vehicle and handover records, rather than only the current customer name. Preserve references explaining plate or customer changes. Linking a fine to a customer record does not itself establish responsibility; any account settlement should follow the actual agreement, supporting records and your approved process.

Separate review, payment and customer settlement

Use clear internal review labels, such as awaiting evidence, under review and ready for settlement review. Check official payment against its reference, and customer account settlement against its own record. These may occur on different dates. Do not mark an item paid solely because a screenshot was received.

A fictional example: a fine appears after handover

A vehicle changes customer on the 15th. A fine record appears on the 20th, but the incident date is the 10th. The reviewer begins with usage records for the 10th, keeps the supporting document and refers settlement decisions to the approved reviewer. The arrival date alone does not determine the relevant usage period.

Review open items regularly

Choose a review interval appropriate for your business. Group unresolved items by next action, such as missing evidence or a payment reference to verify. Retain correction reasons and previous information where supported, or use a separate review log. Another team member should be able to understand how the current position was reached.

Practical checklist

  • Preserve the source and fine reference.
  • Separate incident and recording dates.
  • Review the vehicle and usage period.
  • Distinguish payment from customer settlement.
  • Assign each open item a reviewer and next action.
