Vehicle Account Statements: Bringing Installments, Fines, Salik and Darb Together

Published 26 October 2026

An installment schedule, toll statement and receipt folder do not automatically create a clear vehicle account statement. A useful statement distinguishes amounts due, recorded payments, reviewed charges and unresolved items. It helps your team explain the account without mixing different kinds of transactions.

Define the vehicle, customer and period

Show the vehicle identifier, plate, customer identifier, statement period and preparation date. If the customer changes during the period, distinguish each usage interval rather than assigning every transaction to the current customer. Include the latest review date so readers understand whether the records are complete.

Separate installments from vehicle charges

Group installments separately from Salik, Darb and fine records. Preserve the reference for every entry and avoid adding the same charge from both an external statement and an internal record. Keep items awaiting verification separate from reviewed amounts rather than presenting all entries as final customer charges.

Show payments and their allocation

Include each receipt date, reference, amount and the items to which it was allocated. Keep unallocated receipts visible and avoid deducting one payment twice. Customer collection and payment of a charge to another organization are distinct events. Recording them separately explains why a paid charge may still have an unresolved customer settlement.

A fictional statement calculation

Assume a confirmed opening balance of AED 1,000, new installments due of AED 2,000, reviewed charges of AED 150 and allocated payments of AED 1,500. The resulting balance is AED 1,650, provided the opening balance does not already include those new items. Show an additional AED 80 charge awaiting verification separately until reviewed. These are illustrative amounts, not actual fees or prices.

Review before sharing

Match totals to source records and check transaction dates, duplicates and unallocated receipts. Use plain descriptions and retain the dated version shared with the customer. If late records arrive, issue a clearly identified update rather than silently changing an earlier version. Share only necessary information with an authorized recipient.

Practical checklist

  • Identify the vehicle, customer and period.
  • Avoid repeating period transactions in the opening balance.
  • Separate installments, charges and payments.
  • Distinguish unresolved items.
  • Reconcile totals with source references.

Frequently asked questions

Can a statement show a single total?

Yes, but keep the underlying groups, references and review status accessible so the total can be explained.

Can one statement template serve all customers?

The layout can be consistent, but the records, period, usage intervals and settlements must belong to the account being reviewed.
